The position / our Legal Team

This is an exciting time to join Remote and make a personal difference in the global HR-tech space as Head of Legal Operations joining our Legal Team.

We are looking for a talented and eager professional with a legal background, who is interested in leading our team of Legal Operations professionals, to help deliver our team’s mission of supercharging our business through the provision of excellent legal advice and implementation of solid legal processes.

Our focus area has shifted to strengthening legal operations in the previous two quarters, and we see this hire as pivotal as part of this process.

Our team of Legal Operations professionals are currently focused on:

  • Organizing, redirecting, and distributing legal tasks on our project board (KissFlow), legal-help channel (Slack) and inboxes (email and physical)
    • This includes coordinating complex projects and everyday tasks, ensuring that lawyers can focus on their work and no one person is taking on too much
  • Determining root causes for bottlenecks in our internal processes and recommending and implementing solutions
    • This includes tracking, benchmarking, analysing, and reporting on ongoing legal tasks and projects
  • Working with other teams at Remote to create efficient processes so that legal questions can be answered in a timely manner
    • This includes helping teams “self-serve” and answer their own questions through proper documentation and training as well as change management processes.
  • Developing best in class management reporting to update other teams and management on various legal metrics.
  • Rolling out a Contract Lifecycle Management system.
  • Managing our wide use of external counsel from a budgetary perspective (but evolving to more general oversight following the investment in this role).
  • Implementing knowledge management databases across Remote to ensure we are making available valuable legal reference material to the legal team and internal stakeholders
    • This includes using Notion and other tools to document knowledge so it can easily be searched and accessed by the legal team and other teams at Remote, and contributing to other group-wide initiatives on knowledge management.

Requirements

  • Experience running Legal operations in a previous organisation.
  • Legal background and training with 3+ years practicing experience preferred, but non-lawyers with a great understanding of legal practice also considered
  • Figures out solutions rather than just escalating problems
  • Low ego
  • Interested in working for a tech-scaleup and specifically HR-tech
  • Excellent analytical and organizational skills
  • Ability to build and maintain relationships with team members throughout the organization
  • Dependable team player with high energy, creativity and vision who works collaboratively and cooperatively with others in a team-oriented environment
  • Ability to switch between multiple different projects
  • Ability to learn and master Remote's communication application (Slack), contract management system (Juro & Remote web platform), documentation sources (Notion, Google Drive, etc.), and task management system (KissFlow)
  • Commitment to knowledge-sharing, efficiency and excellence in legal work
  • Eager to learn about different legal systems and different areas of law (employment, contractual, litigation, compliance etc.)
  • Writes and speaks fluent English
  • Outstanding interpersonal, verbal, and written communication skills
  • It is not required to have experience working remotely, but considered a plus.

Key responsibilities

  • Highly motivated, strategic focus: ability to understand and support the Legal Team's goals, services, values and strategy and manage the team of Legal Operations Associates deliver this support to all legal team members (i.e. all functional areas). People management responsibilities depending on relevant experience.
  • Excellent organizational, planning and project management skills including record keeping, data collection, and systematising information. Ability to compile and analyze information and deliver the same in a format which is both detailed and informative. Contribute to internal knowledge bases so that our colleagues can increasingly self-serve.
  • Taking responsibility for the strategy and process around internal communications including goals and SLA tracking, management reporting and KPI tracking.
  • Knowledge management component - Provide ongoing individual and group team member training on knowledge base tools, resources, and best practices. Evaluate and implement new and innovative knowledge management and research tools and resources based on Remote and Legal's needs; participate in technology pilots and assessments.
  • Create, develop, and improve on the internal operations of the Legal Team, including optimizing email inbox and physical mail monitoring and processing, invoice process, triaging, documentation, and data reporting.
  • Lead and streamline legal operation processes as the primary user, administrator, and coordinator for the Legal Team’s billing software tool.
  • Design and implement improvements for our Legal Product Team, including developing SOPs for our internal contract system, automating and improving (where possible) processes for Lifecycle, Onboarding, and Sales, creating efficiencies to better serve Remote’s Clients and Employees.
  • Lead on how Legal uses visual and other techniques to make our processes and our advice better understood across the organisation.
  • Manage external local counsel (instructing, distilling advice, managing fees), including optimising these relationships for the best value for money.
  • Assist with other legal, advisory and compliance work as required.
